Introduction to the Honeyguide WMA management toolbox

The Management Assessment and Tools (MA&T) system for the development of the WMA management includes a suite of tools that can be used for any WMA. These are typical tools that are generally used in any management of a business or conservation area such as your workplan or policies etc.

Below you will find all the tools we have developed and offer WMAs or any conservation initiative for their management. These tools are divided into the seven management areas and for each tool, you will find a guideline, a template for the tool and quick preview of some of the tools or guidelines.

IMPORTANT- UPDATED VERSION

These tools are in constant development, we update the tools annually depending on lessons learned, feedback and any changes in laws and regulations. Each tool will have a version number displayed ( (v 02-2021) on the front page or heading of the tool. The version number and changes are also logged and displayed with each tool below. By clicking on the change log button, you will see a log of all changes and updates to the tool.  We recommend that you keep your management tools updated with the latest versions.

WMA Organizational Structure and Roles

The Organizational Structure

The initial tool to start work. The WMA will have a team of people who need to work together and it is important that this team has clear roles and responsibilities, this will help them work together as an effective team. The organizational structure is accompanied by the roles and responsibilities of each member of the team. This tool will help to maximize the performance of each of your team members.

Annual Workplan and Budget

The Workplan

This critical tool is an excel template that provides a simple outline for the annual work plan accompanied by a budget template. The template includes a set of summary goals, key tasks, and annual targets, as well as for reporting with the same template using additional columns as needed. This excel template is compatible with the annual budget template providing a twin set of tools that enable the WMA to plan and manage activities and finance together.

Finance and Administration Policy

The Finance and Administration Policy

The management of all the finances and general administration needs rules and procedures for the management to adhere to. These are typically approved by the governing organ such as the Authorized Association. This policy will provide all the procedures and basic rules for the management to follow regarding all the use of the funds of the WMA and some additional administration rules.

Financial Reports

The Financial reports

All financial reports are produced using the reporting templates guided by the F&A policy and these are for the WMA management. The reports are also shared to AA , Board and some reports are shared with relevant stakeholders and partners. The payrolls systems need to track and manage the employees costs.

Asset Management Practices

The Asset Management Policy

The WMA`s assets need to be well managed using effective management and administrative guidelines that support the established asset registry. The Management will need to regularly maintain, monitor and assesses equipment to correct any identified issues and adjust maintenance strategies based on assessment outcomes.

It ensures transparency, accountability, and legal compliance in supplier selection, pricing, contract management, and enforcement. It safeguards the WMA employees against risks of fraud and ensures value for money.
